The Asset Register is the basis of any CMMS Asset Management System.                                                

Assets can be organised in any number of navigational tree structures, for example; by geographical location, by functionality, by cost centre etc., enabling easier access to information and work assignment. This simplifies data retrieval and planning as you see the organisation in the way you understand. This allows managers of different disciplines to view the information that suits them.

The assets are displayed in tree structures, initially geographical which is mandatory. But remember, with FlexMaint™ you can have as many tree structures as you want. Other tree structures may define the assets by Function, Customer or Supplier Contractor, Cost Centre etc. Consider the two groupings below;

 

Geographical Grouping – The tree structure shows all of the assets in the database. In the image to the left, a typical geographical layout option is shown. Note the fact that each Production Line has a Motor and a Conveyor. Therefore, by clicking on a Production Line, you can see all the work orders for all the assets within that particular line. The user has full control over the way the assets are grouped into assets and sub-assets using a asset synchronisation tool. The Tree Structure uses a Parent-Child relationship, just like Windows Explorer does with directories and files.

 

 

 
Functional Grouping – Here in the functional tree, we see all the conveyors grouped together, and therefor by clicking on the Conveyors group, you would see all the work orders due on all the conveyor, irrespective of where they are located geographically. With the facility of having multiple tree structures, the user could show all the assets grouped by other definitions, such as supplier, or by the system they are part of like electrical, water, gas or alarm system. A cost centre tree structure is also a popular choice, grouping all the assets by accounting cost centre. Each tree structure would therefore have its’ own tree structure screen panel and a button to choose it.

Operation

Assets are defined as an entity such as a machine, equipment, building, location or facility that needs planned maintenance or event management, a history of work and costs, a place to record information, or any combination of the above. Starting with a unique Code and a thorough general Description, there are many fields available to define the asset, such as Family, Type, Location, Cost Centre, etc. Technical Information fields are also possible such as Manufacturer, Supplier, Supplier Code and Serial Number, and many more.

Beyond that it is possible for the user to create their own User Defined Fields for Assets, Planned Maintenance or Work Orders.
